How do accounting integrations work?
Administration
With an accounting integration, invoices Kai generates are pushed into your bookkeeping system automatically, so the administration lives where your accountant works. Kai supports Yuki, Moneybird, Exact Online, e-Boekhouden and Informer.
Setting it up
- Open Group settings, Accounting Integration (admins and owners; requires the accounting add-on)
- Pick your provider and enter its credentials (API key, admin or division id, depending on the provider)
- Map your ledger accounts where the provider supports it: usage, landing fees, membership fees and expense shares each point at the account your bookkeeping expects
- Leave auto-sync on, or push manually with Sync Now
What syncs
- Finalised invoices are created in the accounting system with their line items, VAT and the member as contact
- The Sync Logs table shows every push with its result and the external reference; failures show the error and can be retried
- For Yuki and Informer, Kai also reads payments back: an invoice marked paid in the bookkeeping (because the bank matched it) becomes paid in Kai automatically
- Correcting a synced invoice creates a fresh reference so the bookkeeping never sees the same number twice
Good to know
- The integration is per group and needs the accounting add-on on a Professional or higher plan
- If no integration is connected, the accountant-forwarding setting can email paid invoices to your accountant on a schedule instead
