How do I log usage or flight hours?

To log usage:
- Open Usage Logs from the menu
- Click Log usage
- Choose the asset and date — the form adapts to the asset type
- Enter the meter readings that match the asset:
- Aircraft — Hobbs and/or tach start/end
- Vehicles — odometer start/end (kilometres or miles)
- Watercraft and equipment — engine hours
- Properties — nights / visits
- Add a route if relevant (aircraft ICAO codes are auto-uppercased; vehicles use origin/destination)
- Add any notes
- Optionally toggle Share to group to post a short message about this entry to the group chat
- Click Save usage log
Quick vs detailed entry
The form offers two modes:
- Interactive — guided step-by-step, ideal for quick entries on mobile
- Standard — single-form layout with every field visible at once
What usage logs are used for
- Per-member cost tracking
- Automatic invoice generation, if usage-based billing is enabled for your group
- Maintenance scheduling — meter-based maintenance intervals update from your readings
- Activity history on the asset detail page
Meters, custom fields and photos
The reading you enter depends on the asset: Hobbs or flight time on aircraft, engine hours on yachts and equipment, odometer on vehicles, nights on properties. The meter you log can differ from the meter your group bills on; Kai tracks both.
Your group may add its own required fields to the log form (a handback checklist, a fuel state) and may enable a photo attachment for meter or condition proof. Watercraft groups see nautical wording throughout: trip, port, skipper, vessel.
