Q2 2026 Update: A Fresh New Look, Fairer Bookings, Online Payments & More

We've had a busy three months. The last quarter brought a fresh new look across the whole app, a fairer booking waitlist, online payments, smarter expenses, and plenty more. Here are the highlights.

The big three

A fresh new look

The whole app has been redesigned, with cleaner typography, calmer layouts, and full-page views for the things you open most: usage logs, invoices, maintenance, and licenses. There's now a proper light and dark mode, switchable right from the login screen. Nothing moved that you can't find. It just reads better.

A booking waitlist for contested slots

When the slot you want is already taken, you can join the waitlist for that exact window instead of giving up. If the booking is cancelled, or the member returns early, Kai gives the slot to the next person in line automatically and emails them. Waitlisted backups show on the calendar as dashed amber blocks, so everyone can see the queue.

The Flights Map

For aircraft groups, every flight from your usage logs is now drawn on an interactive map. Routes are colour coded per aircraft, with a heatmap view, headline stats (total flights, hours, most-visited airport, longest route), and a month-by-month replay you can press play on. Share a read-only public link, with optional privacy controls. A compact route map now also appears on each individual flight.

More that's new

Pay invoices online

Settle invoices, membership fees, and payment requests online in one click. Group owners connect their own Stripe account, so the money lands directly with them. Dutch groups pay with iDEAL and UK groups with Pay by Bank, each approved straight from your banking app with no card needed. More methods and countries are on the way.

Smarter expenses: scan, then reimburse or split

Snap a photo of a receipt or invoice and Kai fills in the vendor, date, line items, and VAT for you. When a member pays for something, you choose whether they're reimbursed in full or the cost is split across members. Receipts can be PDFs now, and expenses stay editable after you create them.

Accounting integration

Sync invoices and expenses straight to Yuki, Moneybird, Exact Online, or e-Boekhouden, with no double entry. Turn on auto-sync and new invoices push themselves, with a daily retry for anything that didn't go through the first time. Available as an add-on.

VAT on invoices and balances

For groups that charge VAT, invoices and My Balance now show both the amount excluding VAT and the amount including VAT, even for usage that hasn't been invoiced yet. No more mental math.

A clearer Money hub and My Balance

Member finances now live in one place. My Balance is a clean ledger of what you owe and what you're owed, with a full statement of account behind each member. Admins get a single Record payment flow that settles invoices, expense splits, and membership fees together, cash and credit in one step.

Membership fees

Set a monthly or annual membership fee, track who has paid, and request payment by QR code or online. Reminders go out automatically before the due date, with overdue follow-ups, and unpaid fees appear on each member's balance.

Selectable billing meter

Aircraft groups can choose whether usage is billed on Hobbs, flight time, or block time. Maintenance can track each interval independently on Hobbs or flying hours, so billing and maintenance no longer have to share one number.

Maintenance, levelled up

See real-time hours until the next maintenance for every meter-based item, computed from the live meter. Owners and admins get automatic alerts as items approach, come due, and go overdue, and you can email your maintenance shop at the tiers you choose. Records can be edited and deleted.

A quick run through the smaller pieces that quietly take work off people's plates:

Custom fields on usage logs. Add your own text, number, checkbox, or dropdown fields to every log, like handback checklists, fuel readings, or condition reports.
Flight log import. Import flights straight from SkyDemon or ForeFlight instead of typing them, on web, iOS, and Android.
Subscribe to your bookings. Add your Kai bookings to Google Calendar, Apple Calendar, or Outlook with a private feed link.
Availability alerts and early return. Release a booking early to free the slot, and opt in to hear when an asset you want becomes available.
Notification preferences. A master email switch plus per-type toggles, so you decide what reaches your inbox.
Richer group chat. Emoji reactions with live updates, and photo attachments in messages.
Invoice reconciliation. Match landing-fee and external invoices to the trips that caused them, and turn each line into the right member's expense.
Export your data. Download CSV and PDF exports of expenses, invoices, usage logs, financials, and issues.
What's New, in-app. A spotlight now points out new and relevant features the next time you log in.
